Maintaining Materials
The Maintain Materials form is used to create and manage multiple material tracking records at the same time. Using this form, multiple records can be exported to Microsoft Excel, updates can be performed, and then the changes can be imported back into Prolog Converge.
To manage multiple material tracking records
- On the View menu, click Field Administration > Material Tracking >Materials > Maintain Materials.
- From the Material Type drop-down list, select the material type to be used.
- Click Open.
- To add a new material tracking item row to the grid, click Add Material Tracking.
- Material ID: The identifier of the material. This field is read-only for existing records but can be updated for new records.
- Description*: The description of the material.
- Supply Chain Status: The current supply chain status of the item. This field is read-only.
- Material Status: The current overall status of the material.
- Assigned Company: The company to which the material tracking record is assigned.
- Assigned Contact: The contact to whom the material tracking record is assigned.
- Location: The current location of the material.
- Manufacturer: The manufacturer of the material.
- Package Number: The package number of the material.
- Submittal Item: The submittal item to which the material is linked.
- Contract Number: The number of the contract to which the material is linked.
- Purchase Order: The number of the purchase order to which the material is linked.
- Shipment Number: The shipment number of the material that is used for tracking.
- 1D Barcode: The barcode linked to the material.
- 1D Barcode Updated By: The name of the contact who last updated the barcode.
- 1D Barcode Date: The date on which the barcode was last updated.
- 2D Barcode: The QR code or 2D code linked to the material.
- 2D Barcode Updated By: The name of the contact who last updated the QR code.
- 2D Barcode Date: The date on which the QR code was last updated.
- RFID Code: The RFID code linked to the material record.
- RFID Code Updated By: The name of the contact who updated the RFID code.
- RFID Code Date: The date on which the RFID was last updated.
- Fabricated - Actual Date: The actual fabricated date.
- Fabricated - Planned Date: The planned fabricated date.
- Fabricated - Updated By: The contact who updated the information.
- Fabricated - Comments: Related comments.
- Received - Actual Date: The actual received date.
- Received - Planned Date: The planned received date.
- Received - Updated By: The contact who updated the information.
- Received - Comments: Related comments.
- Installed - Actual Date: The actual installed date.
- Installed - Planned Date: The planned installed date.
- Installed - Updated By: The contact who updated the information.
- Installed - Comments: Related comments.
- QA/QC - Actual Date: The actual QA/QC date.
- QA/QC - Planned Date: The planned QA/QC date.
- QA/QC - Updated By: The contact who updated the information.
- QA/QC - Comments: Related comments.
- Building Operation - Actual Date: The actual building operation date.
- Building Operation - Planned Date: The planned building operation date.
- Building Operation - Updated By: The contact who updated the information.
- Building Operation - Comments: Related comments.
- Delete: If you select a row for deletion, this check box is selected, and the row is deleted when you save the record.
- To import an Excel spreadsheet, do the following:
- In the Select the Excel spreadsheet to import field, click Browse to locate the Excel spreadsheet to import.
- Select the spreadsheet to import, and then click OK.
- To export the material tracking records as an Excel file, click Export.
- To save the changes and keep the form open, click
> Save.
